Show Indio Activities as Notes on your Renewal Activity in Epic

What is it?

Indio has long had an activity notifications section to inform agents when key events happen in Indio like an insured signing a form or updating a workbook. This new feature allows an agent to connect an Epic activity to an Indio submission, and have those Indio activity notifications show in Epic as notes on the Epic activity.

Why did we create this feature?

Epic is the system of record, but it doesn’t have any record of what actions are happening in Indio. Agents who only access Epic therefore have no visibility into whether a client has done anything. This feature allows anyone with access in Epic to know what is going on in Indio on a particular submission

How do I set it up?

Admin Setup - Indio

As an Indio admin, open up Indio and go to the Agency Preferences section under the Admin area. You should see a section labeled Epic Integration Activity Notes with an empty checkbox underneath labeled Send Submission Activities to Epic. Check that box and click Save Changes to enable Indio to push Indio Activity data to Epic.

If you do not see this section, please use the support chat or email support@appliedsystems.com to request that they enable the feature Push Indio Activities to Epic Activities (PDL-233). This feature is only available to agencies that use our Epic integration.

Admin Setup - Epic

As an Epic admin, you must first adjust the activity code settings for the code that you'd like to show Indio activities on. Generally this is going to be the activity code that you commonly use for commercial renewals like the RENR activity. You can enable Indio activities on tied to a particular event (Like the "Renew Policy" event in Epic) or manually created activities.

To configure an Epic activity to be able to connect to Indio submissions, open that activity code and check the "Show Indio Details section" box under Basic Settings.

Epic Home -> Configure -> Activity -> Codes -> (Choose your activity code) -> Basic Settings -> Show Indio Details Section

Note that you can also enable Indio activities on multiple types of Epic activities if needed. For example, if you use one activity code for marketed renewals and another for non-marketed renewal you can configure both codes to show the Indio Details section

How do I use it?

Once an Epic admin has properly configured the activity codes in Epic, agents can connect those type of activities to an Indio submission. After you create an Indio submission as part of your normal workflow, simply go to the most relevant Epic activity (likely a renewal activity) and click Connect to Indio Submission under the Indio Details section.

You'll then see a list of Indio submissions associated with that account. Choose the appropriate submission, and choose Connect to Submission.

After connecting the activity to an Indio submission then any Indio activities that take place in Indio will automatically start showing up as Notes on the Epic Activity. This process is automatic and runs approximately every 10 minutes.

FAQs

I already get notifications emails from Indio about activities. Does this feature replace those emails?

No, all Indio email notifications remain in place and this is simply an additional way to keep track of activities in Epic. If you have been storing those emails in Epic for recordkeeping, you may consider connecting your Indio submissions directly to the Activity in Epic and using the automatic notes as a record. Remember you can also adjust what email notifications Indio sends depending on what works best for your workflow.

How are Indio activities and Epic activities different?

An Epic Activity is like a task - agents use Epic activities to track policy renewals, endorsements and other things they do throughout the year. An Indio Activity is a record or notification that an insured or an agent did something.

Does this feature work for Canadian agencies?

Yes! Support for Canadian agencies was added in August about a month after the initial launch of this feature.

Does this feature work for agencies with on-premise Epic?

Unfortunately this feature only works for agencies on the Applied Cloud and will not work properly for any on-premise agencies.

What Epic user are the activity notes attributed to?

When Indio adds notes to the Epic activity the notes in Epic are attributed to a generic Epic SDK user rather than any specific user at the agency. The activity record from Indio that is being displayed may include the name of the agent or insured user who performed that activity

Indio has another feature to automatically create activities in Epic when an agent uses Indio to send a carrier submission to their underwriter. Does this feature depend on that feature?

No, this feature only pushes Indio data to Epic activities that already exist, and therefore does not require the Integration - Push Activities feature.

What if the activities in Indio change or are removed?

As a general matter Indio does not remove activities, and this feature pushes Indio activities to Epic as the occur, so new activities will show up automatically. There are some minor cases where Indio changes the font to strikethrough in our user interface, such as when a user uploads a document and then later deletes it. Epic Notes do not support fonts and therefore the activity in Epic simply remains in place.

My activities aren't syncing!

Try clicking the "Sync with Epic" button on the account, and then see if activities start showing up in Epic after that. Sometimes a sync is necessary for Indio to be able to find the right activity in Epic.

Also remember only Indio activities that are associated with a particular submission are sent to Epic as notes, so activities like "Tina logged in" or notifications about documents uploaded at the account level will not show.
